Job Description

We are one of Hong Kong’s leading international education centres and are looking to recruit an accounting & administrative assistant who will play a key role in the day to day functionality of the business. We are looking for candidates who are proactive, hardworking and dedicated to ensuring that the department and its key members are extremely well supported administratively. 

Job responsibilities: 

  1. Organized and detail orientated. A big part of the job will be the collection of timesheets (lesson logs) from all of the tutors we work with so we can verify the lessons and ensure payments are correctly made. The employee will be expected to collect timesheets, follow up on those tutors who have not sent it on time, maintain a digital record for every individual tutor of all timesheets submitted, cross-check records submitted against the internal record of the company to ensure there are no discrepancies and then create a spreadsheet record of the lessons the tutor had had in a given month along with the details (student name, dates etc).

  2. The employee needs to be hardworking and ensure that they follow processes and deliver their work on time. Once the information in point 1 is finalized the employee will be expected to cross-check their records with another member of staff to ensure accuracy at the beginning of every month (first day of every month). After this, the company uses this information to pay tutors and generate invoices and while the employee will not be expected to do this on a monthly basis he/she will need to cover for the other member of staff if they are away.

  3. The employee will need to be good with numbers because he/she will need to be able to generate invoices for students and learn how to calculate staff payments based on contracts and any transport reimbursement/OT bonus due

  4. Employee might need to make staff payments and log these payments for verification by head of department. He/She will also need to send payment breakdowns to all members of staff on a monthly basis. 

  5. Employee will need to handle the companies MPF procedures. Calculating MPF payments due, add/remove any staff to the MPF programme and submit the payment in a timely fashion.

  6. Employee will need to keep a record of incoming payments from students and ensure that they have a tally and record of all outstanding payments at any time. Employee will be expected to follow up on outstanding payments to ensure the company gets paid in a timely manner. 

  7. Employee will be expected to ensure that they allocate the correct classrooms to the tutors on a daily basis and check for any clashes tutors may have on their schedules to ensure smooth operation.

  8. Employee will be expected to cover for on leave staff if needed and perform other ad hoc duties as needed.

Jobs requirements:

  1. University graduate (degree in any discipline)

  2. Excellent problem-solving ability 

  3. Proficient in using Google powered business tools (email, calendar, docs, sheets)

  4. Pleasant personality with excellent organization skills

  5. Dedicated and willing to work to irregular time schedules

  6. Self-motivated, mature, and presentable

  7. English is a necessity
