Job Responsibilities

•Complete expenses claims, timesheet input for around 5 senior leaders in the team using in-house systems.

•Book travel per instruction and support activities such as providing map to venue and coordination with travel agent for travel visa.

•Communicate with Hong Kong, Asia and international colleagues to set up meetings and collate presentation documents for any internal discussions.

•Process client contracts, open and close time codes upon instruction and established guidelines

•Produce monthly invoices for approval and issuance

•Carry out standard formatting using Microsoft Office pack

•Set up internal and external meetings, book venues and follow up to remind attendance

•Carry out printing, binding and other filing activities

•Learn and become aware of parties and stakeholders to be included in committee meetings

•Conduct all communication in a professional manner

 

Qualifications

•Preferably more than 2 year(s) experience working in a secretarial role, preferably in a professional service environment with high work volumes.

•Good project management skill; proven ability to plan and organize workloads and manage multiple deadlines, ensuring accuracy and quality of work is maintained at all times.

•Able to deal confidently with colleagues and clients at different levels, both face to face and by telephone, developing good professional relationships and building trust between client and Mercer.

•Be part of a team supporting other team members as needed so that deadlines are met.

•Good working knowledge of MS Office applications including Word, Excel and PowerPoint and Outlook

•Highly detailed and is able to work with a range of information / data to produce accurate client documents.

•Knowledge of business support systems including billing, client databases, expense/travel management with the ability to learn new systems / applications

•Good proficiency in written and spoken English and Chinese (Mandarin)
