Administrative Assistant (Project Support)

Our client is one of the top tier pharmaceutical companies in Hong Kong with their products distribution in Hong Kong, China, US and Canada.  To cope with the expansion of their business and production and to accommodate for exciting new projects, they are now sourcing for a Project Coordinator / Administrative Officer to assist in the Project Team

Job responsibilities:

  • Coordinate meetings and maintains a detailed project schedule in terms of all project phases and dependencies including but not limited to preliminary engineering, detailed design & review, equipment acquisition, installation, test & start-up, and site & system acceptance;
  • Participation in Project Team Meetings;
  • Prepare and/or edit meeting minutes and presentations;
  • Coordinate and ensure team members adherence to deadlines for assigned tasks;
  • Coordinate and track document review and approval, change controls and risk assessments etc., and maintain all relevant registers in according to defined procedures, file all project including GMP documents (hard and soft copies);
  • Ensure coordination of the interfaces of all disciplines within the project team;
  • Responsible for track project changes and update schedule as agreed with engineering and project team
  • Assist in development of project documentation, e.g. Project Plan, User Requirement Specifications, and Change Control documents and ensure they comply with defined documentation and format requirements.


  • Bachelor degree in Business, or related disciplines; 
  • 2~3 years working experience in administrative/project coordination role;
  • Good communication skill and interpersonal skill, able to meet deadline;
  • Diligent, strong self-motivation with excellent time management skills.
  • Excellent proficiency in listening, writing and oral English is a must
