Asset Management - Executive Assistant

Our team is looking for a high caliber Executive Assistant position.

Responsibilities include but not limited to:

  • Liaise with other teams on meeting schedules
  • Calendar management and associated tasks such as booking conference rooms, audio visual equipment, telepresence set up, documentation, meeting scheduling etc
  • Personnel on-boarding and off-boarding including logistic for new staff
  • Logistics & arrangement of meetings for visitor(s), management meetings
  • Coordinate logistics for business trips and team travel arrangements, when appropriate
  • Assisting and/or leading team events
  • Filing, invoicing and processing of expense claims and related record-keeping.
  • Maintaining group leave record and handling phone enquiries
  • Providing general support including photocopying, booking meeting rooms, stationery re-ordering, typing, filing, mail, etc
  • Handling control and compliance related procedures for the team and client activities.
  • Help prepare presentation materials for internal and external meetings.
  • Logistics & arrangement of client events
  • Assisting in ad hoc project administration support when required
  • Excellent interpersonal & communication skills with experience working with a variety of cultures
  • Strong organizational skills, is meticulous with details and self sufficient
  • Able to work with a high degree of autonomy as well as part of a team
  • Experience in managing relationships across all levels
  • Able to work under pressure and tight deadlines
  • Flexibility to support the team out of normal work hours.
  • Fluent in Mandarin, Cantonese, and English is required
