We are currently seeking a high caliber professional to join our team as Assistant Manager Business Administration.

In this role, you will

  • Reporting directly to Chief Accounting Officer, Asia Pacific, deliver efficient and high level quality secretarial, administrative and personal assistance 
  • Work independently on often sensitive and complex work in accordance with the Chief Accounting Officer, Asia Pacific's direction and complying with the Bank's standard practices
  • Preparation and organization of quarterly governance forums including HBAP Audit Committee
  • Secretariat at certain Chief Accounting Officer meetings noting key actions and then subsequent follow up on these
  • Collation of Management Information as required by the Chief Accounting Officer as well as supporting event logistics
  • Calendar management, prioritize meetings, delegate as appropriate, track record in managing fast changing calendar across global time zones
  • Business trips and meeting arrangements including meeting room booking, meeting paper, agenda items, minutes taking
  • Coordinating and dealing with other Personal Assistants in the cross function and globally
  • Managing meetings with external parties, including access arrangement for visitors
  • Apply and monitor the process on Bank Systems: IT GSR, My HR Direct, My IT Solution Centre, Fusion Corporate Card reimbursement, Fusion Procurement request, AssureNet reviewer
  • Serves internal and external stakeholders courteously and sincerely with a friendly and helpful manner 
  • Focuses on delivery and satisfy internal and external stakeholders needs on time
  • Cooperates with colleagues within own and in other departments to meet deadline and solve problems 
  • Seeks ways to continuously improve service, productivity and quality of work
  • Develops logical, practical and acceptable solutions
  • Leave cover for other Personal Assistants, including Personal Assistants of Chief Financial Officer Asia Pacific, and for the Global Financial Controller
  • Work closely with PricewaterhouseCoopers project officer, regarding the auditor's onsite support, payment process, communications, trainings report, and application process on System or Physical arrangement
  • Business Continuity Coordinator including annual BCM exercises, communications, prepare and coordinate for the annual BCM plans on GBRT System, attend meetings on behalf of the team

To be successful in this role, you should meet the following requirements

  • Extensive experience supporting, communicating with, and providing personal assistance to senior level management, with proven ability to demonstrate absolute integrity, as well as having the ability to appreciate sensitivity of issues
  • Mature, skilful and reliable when handling confidential documents 
  • Patient and flexible in liaising with various parties both internally and externally
  • Fluent in English, Cantonese and Putonghua in order to interact with peoples regionally and globally
  • Proficiency in Microsoft office applications 
  • Formal Secretarial training is an advantage
