Purpose:

  • To handle all daily telephone answering, visitor welcoming and courier orders efficiently and effectively so as to be an integrated part of maintaining system of corporate image
  • To assist in inventory management in stationery supplies in all public areas.

Responsibilities: 

Planning

  • Assist to plan and support vendor evaluation on stationery and courier services

System and Processes

  • Fully responsible for managing reception area such as handle incoming calls, greet guests and manage front desk in an efficient, professional and courteous manner
  • Maintain appearance of the lobby area, mail receipt and dispatch and manage the use of meeting rooms
  • Responsible for updating & posting the telephone directory
  • Responsible for stationery ordering (Office, Warehouse & shops), vendor evaluation and prepare the consumption report for analysis
  • Handle business travel booking and Travel & Entertainment claims for the department head
  • Handle name card printing and master record filing
  • Handle flower basket ordering for special issue
  • Assist in handling inventory control on printing matters (e.g. letterhead / envelope) and form printing
  • Assist in handling shopping bag order for retails & franchise shops
  • Assist in handling the invoice regarding energy, paper, waste and water and collect the consumption data for Green Company report 
  • Assist in courier order and update the registry for outing courier order & self-pick arrangement
  • Assist in handling video conferencing and audio conferencing booking arrangement
  • Assist in organizing company activities and ad-hoc projects as assigned
  • Assist in providing administrative support, not limited to receptionist service and meeting arrangement 
  • Perform any job duties assigned to support the administration team

Requirements:
