The Conference Coordinator is responsible for supporting the Conference Sales Manager in overall coordination and administration of actual and video conferences to ensure client satisfaction and administration efficiency.

 

Key Responsibilities:

  • Act as a point of contact for clients after a sale is completed. Follow-up with clients before, during and after each conference.
  • Prepare run-down and logistics arrangements for the conferences.
  • Prepare the conference room/equipment setup and catering service.
  • Keep the office and conference rooms well-organised and stocked with required stationary and equipment.
  • Conduct Centre tours and pre-function meetings with clients in relation to conferencing.
  • Follow-up on unpaid accounts, raise requests for debtor assistance and resolve account disputes when necessary.
  • Prepare month-end reports to management and ensure all conference enquiries and bookings.
  • Handle any other ad hoc request from clients and manager.
  • Shift duty is required.

 

Key Requirements:

  • 1-4 years related work experience in event management, hospitality or customer service role is required.
  • Fluent in Cantonese & English. Good in Mandarin is an advantage.
  • Analytical mind with attention to details and ability to “think out of the box".
  • Self-starter and able to work under pressure.
  • Excellent written and verbal communication and negotiation skills.
  • High literacy in computer application, proficient in Microsoft Office.
  • With service-oriented mindset.
  • Candidates with more experience may be considered as Senior Conference Coordinator.
