Basic Function:
Responsible for management of Amenities service and associated facilities including, business planning, operation execution, vendor management, budgeting, financial analysis and equipment maintenance.

Communicate with both internal and external clients as well as the regional and global Amenities management to manage /provide the services following the firm guidelines/policies

Work in Asia Amenities management team.

Principal Responsibilities and Duties:

  • Management of the Amenities services as follows: -
  • Hospitality services such as visitor registration, switchboard, receptions, client area meeting and training room management.
  • Food service operations such as on-site meetings & event catering services, coffee bar and grab and go food outlets.
  • Event Management services such as guest parking, visitor access, event room layout change, coordination with cross functions, etc.
  • Firm common facilities services such as the floor pantries, mothers room, quiet room & employee discount program.
  • Manage service vendors, from vendor selection, contract management, financial reviews, to actual service execution supervision. Build relationship and work together with all the service providers and the business partners
  • Manage stakeholder relationships.
  • Work in the Asia Amenities management team and participate in the regional and global initiatives
  • Control the financials in the Amenities operations
  • Resource planning to ensure size and structure of team is aligned with workload projections
  • Respond to and management of environment & safety issues as they pertain to Amenities management
  • Manage communication with Business Units using such tools as csportal, surveys and user forums
  • Ensure high degree of customer satisfaction and smooth operations within Amenities team
  • Maintain an active awareness and understanding of global workplace trends, innovations and opportunities
  • Collaborate with functional leads to ensure close alignment; Property Services, Amenities, Business and Branch Management, Communications, Marketing, and Expense Management teams.

Incident Response:

  • On-call availability after office hours for emergency and BCP needs as required
  • Coordination and communication of incident response

Required Skills / Experience: (Knowledge, skills, and abilities to qualify for position)

  • Great customer service orientation with an innate desire to be of assistance and address varying, sometimes conflicting requests
  • 10 years of relevant experience, working in facilities management, food services, and hospitality or in customer service related industry where managing teams was a large part of your role.
  • Strong knowledge of catering operations and expertise partnering with third party vendors
  • A strategic thinker and self-starter with an entrepreneurial spirit
  • Expertise analyzing financial data and managing budgets
  • Strong problem solving skills and negotiation skills
  • Excellent communication skills with both internal and external clients
  • Strong verbal and written communication skills, bilingual – English and local language. Japanese language capability is desirable and/or experience with Japanese market.
  • Proficient PC skills including outlook, excel, word, PowerPoint, etc.
  • University educated or equivalent practical experience

Desirable Qualifications:

  • Formal degree/qualification or training in hospitality or hotel management, property and/or facilities management
  • Management experience in investment banking industries

Reports directly to Head of Amenities Asia. Maintains a close working partnership with all peer group managers, regional and global counterparts, local BU OPS Officers and Admins.
