Corporate Meeting Specialist, APAC - Associate

The Corporate Meetings & Events Marketing teams work in partnership with all lines of business and firm-wide to plan, execute and support client and internal conferences and events.

Event teams are located in key markets in APAC, EMEA, North America, and LatAm and comprised of experienced event professionals with the specialized expertise and supplier relationships to execute events to a high standard while closely managing costs.

This role will be based in Hong Kong as a key contributor for Corporate Meetings & Events (CME) team. The successful candidate will work with their manager and colleagues on all work related to any event responsibilities, such as onsite visits and support, budget tracking and monitoring, and creating event related reporting. The successful candidate will have significant exposure & interactions with senior management and are required to have a thorough understanding of business strategy and goals, equipped with strategic, financial and project coordination skills. The successful candidate also will be expected to partner effectively with colleagues across other function including Lines of Businesses, Legal, Compliance, Marketing & Communications teams, sales & bankers, product partners, and senior management.
 

  • Lead event project initiatives in region, partnering with business, marketing and functions, to develop impactful programs in alignment with business strategy
  • Effective planning and execution of client conferences and events across APAC
  • Manage the end-to-end process of event planning & execution and logistics, ranging from event briefs, research, approvals, invitation, speaker management, venue set-up, designs, onsite support, production / audio / video / virtual event management, financial management and post-event analysis
  • Manage effectively external vendors and venues on all event related matters
  • Provide support across J.P. Morgan franchise sponsorships as well as industry conferences and events, ensuring benefits are delivered, effectively leveraged and executed flawlessly
  • Manage and keep track of event budget with a view to cost efficiency
  • Adhere to internal policy and procedures with regards to reporting activities and spend, compliance regulations, approval processes and ensuring appropriate documentation is in place
  • Maintain Corporate Meetings & Events database which includes (but is not limited to) event metrics, budgets, and event collateral
  • Develop partnerships amongst the team for coverage on complex conferences and events and build relationships for new projects with other Lines of Businesses

The ideal candidate:
  • Degree in Business Administration, Marketing, Communications, Hotel Management or a related degree is preferred
  • Minimum 6 years of experience in event planning and management/execution, preferably in financial industry
  • Strong problem-solving, analytical, and project management skills and ability/flexibility to confidently lead and manage an event on an end-to-end basis
  • Independent to take initiative and ownership of assigned projects
  • Excellent organizational and time management skills with the ability to multi-task under tight deadlines
  • Client focused, highly organized, and process oriented with the ability to manage multiple and competing deadlines
  • Ability to manage budget, and to stay within strict budget parameters
  • Confidence to be an ambassador to internal client management. Ability to forge strong relationships, interact, influence and communicate effectively with all levels of the organization and across Lines of Businesses
  • Team player with proven ability to communicate in clear, concise and accurate manner, and able to collaborate with team members, vendors and all levels of internal and external stakeholders
  • A highly motivated and proactive individual with strong prioritization skills
  • Strong accuracy, attention to details and consistent follow through
  • Excellent English oral and written communication skills; Mandarin proficiency would be an advantage
  • Excellent Microsoft skills including Word, Excel and PowerPoint, and technology savvy
  • Periodic travel within the region may be required
