This role will provide backbone administrative support to the CEO in day to day activities and projects, as well as providing general administrative support to the Global HR Director occasionally. You will be a crucial contributor to maximize communication and stable working relationships between internal and external parties.


Key Result Areas

  • Act as the first point of contact and gatekeeper for the CEO, within the organisation
  • Support the CEO to sustain an excellent relationship with the team during company events, office routine, and new strategies by providing secretarial assistance professionally and responsively
  • Take responsibility for managing and prioritizing the diary and other secretarial duties to ensure the efficient and timely completion of tasks and deadlines
  • Prepare travel arrangement, business correspondence, presentation materials, agenda, and minutes in a precise and accurate manner
  • Coordinate special events, such as board and management meetings, video conferences, and other internal activates to ensure a smooth running of the function
  • Assist in project management and strategies being developed concerning new business and special projects, when necessary


We are looking for candidates with the following skills and experience

  • Matriculated or above with formal secretarial training
  • At least 5 years of secretarial experience, with a proven track record of supporting CEO and/or expatriate senior management at a regional level
  • Extensive administrative and analytical skills, including organising, prioritizing, and planning
  • Ability to deal comfortably with internal and external contacts, at all levels, work without supervision and act using own initiative
  • Excellent interpersonal and networking skills across multiple teams and locations
  • Strong follow-through and completion of assigned tasks
  • Ability to handle sensitive information and maintain confidentiality
  • Skillful application of MS Office programmes – Word, Excel, PowerPoint, Office 365, SharePoint
  • Willingness to learn the emerging system and toolset requirements
  • Proficiency in both written and spoken English, and Mandarin is a plus
