EA / Office Manager


Reporting to the GCNA Managing Director, this role is responsible for planning, development and implementation of initiatives for the Hong Kong office with a limited outlook for GCNA as well as providing executive support for senior executives based in Hong Kong.

This role works across various functions to support business transformation, change management and engagement activities. You will provide exceptional communication skills and customer service to diverse and all levels of stakeholders across the business. You are responsible to support the execution of strategic business programs and to ensure all business projects/programs assigned to you are delivered timely and efficiently.

This role is also expected to provide premium service support to senior executives based in Hong Kong.

Roles and Responsibility:

Office Management
  • Develop and maintain internal communications dashboard to measure the effectiveness of internal communications projects and programs and share analysis and findings with key internal stakeholders.
  • Be committed to modifying internal communications activity based upon the results.
  • Assist with integration of strategy and brand ID.
  • Promote through communications common vision, strategy and objectives driving high performance and employee satisfaction culture
  • Model best practice collaboration with stakeholders within the business.
  • Work closely with HR to drive cultural behavioral change.
  • Identify and manage opportunities for GCNA leadership
  • Delivering events on time, within budget, that meet (and exceed) expectations.
  • Setting, communicating and maintaining timelines and priorities on every project
  • Communicating, maintaining and developing client relationships
  • Managing operational and administrative functions to ensure specific projects are delivered efficiently
  • Travelling to on-site inspections and project managing events
  • Being responsible for end to end project budgets.
  • Budgeting and decision support on key projects and events
  • Effective and proactive communication of events
  • Build administration of event shared websites.
  • Manage the creative, electronic, technical and logistical dimensions of the business event and apply to staging sets, audience accommodation, audio-visual output, presentation scripts, logistics, fund allocation and customer service.
  • Undertake special projects as allocated by GCNA MD.
• Assist with management of overall budget and financial policies, and oversee specific reports and forecasts. • Administer monthly, quarterly, and annual financial reporting schedules and controls.
  • Attend to reconciliations and budget maintenance.
  • Collation and submission of financial reporting.
Personal Assistant for Executives
  • Schedule Management: setting up travel, meetings, speaking engagements and other appointments for the executives they are assigned to work with
  • Information Preparation: Prepare and format information for internal and external distribution. This may include writing company announcement, minute taking, compiling data for reports, creating computerized presentations, writing reports, transcribing dictation, editing, proofreading and other information preparation duties.

Qualification and Experiences:

  • Excellent communicator and team player.
  • Knowledge of LexisNexis products, services, local practices.
  • Project management and excellent people skill
  • Minimum 8 yrs.+ in a comparable or related role
  • Demonstrated Events, Project Planning & Executive Assistant experience.
  • Demonstrable working knowledge of the principles, current procedures, relative strengths and trends in marketing, public relations and associated industries and the ability to apply this knowledge to ensure a successful outcome.
  • Experience managing online communication channels, intranets and have experience working on an intranet migration project.
  • Experience developing communication plans to align with project milestones and promoting new internal business initiatives.
  • Proven ability to balance strategic and tactical responsibilities and a motivation to execute at a ground level.
  • Experience in key message development, leadership communications, event management and planning, content development for multiple channels and extensive stakeholder relationship management. Video production and editing would be desirable.
  • Demonstrated ability to write for a range of internal stakeholders, easily able to change their style and tone to suit the audience and channel.
  • Demonstrated experience in executive speech writing and presentation development.
  • Excellent attention to detail and a willingness to take on a variety tasks
