This role will be responsible for the day to day coordination of Haymarket Brand Media’s awards in Asia, including processing of award entries, enquires, processing registrations and payments, assisting with preparation and management of judging days, awards nights and general events.Work closely with the awards team across all HBM awards events. 

Key Responsibilities:

Event Management

  • Onsite logistics management of events, overseas travelling will require
  • Awards event website administration and sales booking getaway management
  • Awards show event production work, including logistic planning, events collaterals, table planning, material & print production
  • Support the events managers to build relationships with key contacts within the industry to facilitate promotion of events including C-suite level executives (including award entries, juries, mentors, registrations etc.)
  • Sourcing, liaising and negotiating with suppliers & vendors to get the most competitive quotes and manage relationships including but not limited to hotels, audio visuals, productions, photographers, trophies etc.

Driving Entries & Table Sales

  • Assist in encouraging entries, table sales from the industry
  • Conduct sales call and emails follow up to promote entries & table sales booking 

Coordination & Administration

  • Coordinate with internal design & production teams to manage all event related material
  • Collate market data and perform research as required
  • Liaison with Finance Department on accounts payable/ receivable
  • Coordinate with Design & Production teams to manage related event materials
  • Coordinate and working with Marketing Team on external newsletter, social platforms and marketing promotion of the awards events
  • Assist Events Manager on all administration, filing, post event reports and analysis
  • Coordinate with Digital team on website administration and update of content
  • Organize meetings, take notes and prepare reports where appropriate
  • Filing records for all events and updates for all contact database

Requirements

  • 1-3 years track record in Event Management or diploma in any relevant field such as Hospitality Management or Public Relations.
  • Fluent in English, Cantonese and Mandarin (written and spoken)
  • Excellent communication and negotiation skills
  • Extremely well organized and detail oriented
  • Understanding of how to work effectively across different internal stakeholders and team members
  • Multi-tasking and work effectively with tight deadlines
  • Knowledge of venues & AV production
  • Knowledge of Wordpress is an advantage but not a must
  • Proficient with Microsoft Office (WORD, EXCEL, PPT etc.)
  • Remain composed in stressful situation and work independently
