About the Role

Reporting to the  Executive General Manager International, this Executive Assistant will provide direct administrative support including diary management, responding to queries, travel arrangements, reporting, document preparation / project support, and event coordination both internally and externally. The role also supports facilities management for the Hong Kong office, member queries, phone campaign support, and managing sponsorship enquiries

Key areas of responsibilities include:

  • Management of the EGM’s diary and meeting schedule including coordination of all travel itinerary and briefing package.
  • Arrange EGM’s travel and accommodation needs
  • Handle all incoming & outgoing correspondence from EGM’s office
  • Provide assistance in preparing reports for Board Meetings
  • Facilitate meetings or teleconference across different time zones and prepare meeting materials working closely with other executive assistants across the region
  • Support Events team on sector-related activities and high-profile divisional networking activities i.e. managing invitations
  • Organise stakeholder’s VIP luncheon/ dinner event for councillors and committee members
  • Coordinate logistics ie travel and accommodation for EGM, Divisional President and other employees visiting China, Hong Kong, Melbourne and other locations.


About you:

As a successful candidate, you will bring the following attributes/experience to the role:

  • Previous experience in a similar role
  • Ability to effectively manage relationships between management and stakeholders
  • Team player – able to work and communicate effectively in a small closely interactive team
  • Excellent attention to detail, time management and organising skills
  • The ability to prioritise numerous responsibilities and manage competing deadlines and requirements of the EGM
  • Ability to manage, co-ordinate and facilitate key activities and events, often with tight and conflicting deadlines
  • Good verbal & written skills in English, great interpersonal skills and a self -starter
  • Proven ability to use influence and persuasion to achieve desired outcomes
  • Regional and cross-culture experience is highly favoured but not a deal breaker
