Corporate Governance and Secretariat function comprise qualified lawyer, chartered company secretaries and executives of high caliber. We work as a team, with a mission to provide comprehensive and professional company secretarial services and advice to the Board and Board Committees as well as Senior Management of Hang Seng Group, with reference to best-in-class corporate governance practices, to facilitate the Bank in achieving long-term and sustainable success.

We are currently seeking a high caliber professional to join our department as Executive Secretary.
 
Principal responsibilities  

  • Provide secretarial and coordination services to Directors and management
  • Provide administrative and personnel support to the function.
  • Handle documents and general office processing and assist in the transition into a paperless and electronic environment
  • Assist in basic corporate governance works
  • Assist in meeting logistics and coordination for Directors and management trainings as and when required
  • Manage itinerary of meetings and events for Directors and management and support departmental events including but not limited to, lunches/dinner/events for Directors/management
  • Handle administrative duties including telephone calls, emails in an accurate and prompt manner, and conference room booking for the function
  • Support basic finance processing and approvals of departmental expenses
  • Handle booking of overseas travels and support of visitors
  • Streamline and simplify departmental administrative process to empower self-service of the team

 

Requirements

  • Diploma Holder or above
  • Minimum of 5 years of relevant experience in sizable organizations, experience in financial services will be an advantage
  • Strong attention to details, with ability to work independently and under pressure
  • Good communication, interpersonal and organizational skills
  • Good knowledge of computer skills and office automation tools
  • Strong change orientation and initiative on continual improvements
  • Proficiency in both English and Chinese; written and spoken
  • Great sense of ownership and servicing mindset to ensure efficient and effective customer service processes
