Key responsibilities

The role will report to the Hong Kong HR Manager and day to day be supervised by the Hong Kong HR


Key responsibilities include, but are not limited to:

  • Action all new starter, leaver and employee variation notifications
  • Provide support with the hiring process, which includes posting job advertisements onto job boards

and careers page, organising resumes, scheduling candidate interviews, booking in facilities and

preparing letters of offer

  • Provide support with the on boarding of new employees, which includes creating information

packs, setting new joiners up on all HR databases and systems

  • Work with payroll to ensure that new joiners and variations are captured monthly
  • Scheduling mid probation and end of probation reviews
  • Electronically record exit interview data
  • Maintain and update electronic and hardcopy employee files, HR databases and records
  • Prepare HR data and reports to assist with requests for HR statistics
  • Assist with the preparation of letters and documentation and provide administrative support for

updates to employees, references and maternity / paternity leave cases.

  • Provide assistance with the coordination of the intern and graduate programs
  • Assist with the coordination of the Learning & Development Program, includes scheduling sessions

in the My Development system, recording attendance and attending to logistics for running the

session (i.e. meeting room bookings and catering requests)

  • Support the development and implementation of HR initiatives and systems
  • Provide administrative assistance with all ad hoc requests from HR team members and with

associated HR projects

  • In busy periods or to cover team absence, provide support to the HR Advisor/Officer who is

amongst other areas, responsible for lawyer regulation submissions, work permits, benefit

administration, general and secretarial leave management and CPD applications for recognition.

  • University graduate preferably or evidence of experience operating as an administrator
  • Experience operating in a professional environment
  • Keen to learn new things
  • Numerate
  • Confidential and able to maintain sensitive information
  • Analytical and with strong attention to detail
