Job Responsibilities

  • Serve as a Company Secretary to Council/Committees and be the designated communication channel with Council/Committee Members regarding meeting matters and event invitation
  • Provide secretarial support to Council/Committee members, including preparation of committee events and filing of documentation, such as agenda, minutes promptly
  • Plan and organise committee meetings per meeting/event schedules; and ensure readiness of documentation/inputs from parties concerned
  • Responsible for the Institute Secretariat section of annual activities, such as AGM and Council Luncheon
  • Handle the appointments of Council/Committee members, orientations and any other onboarding related activities, and the preparation of relevant materials
  • Ensure compliance with laws and regulations, including Government Ordinance, Memorandum and Articles of Association, By-laws of the Institute
  • Be the custodian for all legal documents of the Institute (MOU, contracts etc) and responsible for document control of internal policy, procedures, guidelines, forms etc
  • Safeguard and uphold the terms and conditions of contracts/agreements between the Institute and external parties, and coordinate with lawyers for related negotiation
  • Assist in Trademark registration and the maintenance of relevant record
  • Assist in the implementation of any other corporate governance-related matters of the Institute


Job Requirements

  • Degree holder or above in business related discipline, preferably a member of ICSA/HKICS
  • 5-8 years' corporate secretarial/administration experience, preferably with prior relevant experience in council, institute or academy
  • Knowledge and experience in ISO documentation will be an advantage
  • Good in time management and attentive to details, self-motivated with a can-do attitude
  • Excellent coordination and organisational skills
  • Proficient in MS Office applications
  • Excellent command of written and spoken English and Chinese
