PRIMARY OBJECTIVE

As an Office Administrator, you will work closely with Finance Director to provide administrative support. You are responsible for office facilities management, purchasing, dealing with vendors to ensure office is running smoothly and support all departments on a proactive basis.

 

JOB DUTIES & RESPONSIBILITIES

As an Office Administrator, you will often act as the first point of contact with people from both inside and outside the organization. Tasks include:

  • Work closely with Finance Director on Assets control, including keys, locks, printers, telephones and projectors, etc.;
  • Responsible for renewal of vendor contracts (office cleaning, telephone, corporate insurance, etc.);
  • Fully responsible for daily office operations including but not limited to stationeries and pantry items replenishment, office equipment and fixture/furniture maintenance, office cleaning, meeting rooms arrangement, business cards ordering;
  • Handle Airport Permit applications, renewal and termination. Work closely with Permit Office, Brands, Contractors and HR Department;
  • Business trip arrangement such as hotel accommodation, transportation arrangement;
  • Handle vendors invoices and work closely with Finance Department;
  • Prepare department reports, e.g. asset reconciliation by Headquarters;
  • Handle incoming calls, emails, faxes, postage/courier with departments;
  • Organize and arrange company events in Chinese New Year, Mid-Autumn Festival, etc.;
  • Assist in ad-hoc duties as per assigned.

 

KEY REQUIREMENTS & COMPETENCIES 

  • Diploma in Business Management/Secretarial or equivalent;
  • Minimum 2 years relevant working experience in office administration;
  • Good organisational and time management skills; 
  • Good interpersonal skills in dealing with internal and external customers;
  • Independent, honest and reliable;
  • Attention to details and dedication to multiple projects;
  • High flexibility and adaptability to handle different tasks and work extra hours to meet deadlines;
  • Good communication skill in both written and oral English, Cantonese, and Mandarin;
  • Proficient in MS Office (PowerPoint, Word, Excel).
