Position Overview

Working within the Shared Services team, the Operations Assistant is primarily responsible for supporting the Asia Cyber Solutions team: project coordination and scheduling, implementing policies and procedures, administration of systems and software, and general administrative support. This role will include special projects such as assisting with the integration of systems and processes into wider group policies and processes, creating process efficiency, and collaborating with other Shared Services team members to ensure the smooth running of the office as a whole.

The responsibilities of this position include but are not limited to the following:

Project Coordination and Project Lifecycle

  • Setting Up Scoping calls between Managers and the Clients
  • Creating repositories for new Projects & updating it with relevant documentation
  • Resource Scheduling
  • Creating New Projects in systems and providing relevant update on the Project Stage and Status
  • Updating Report store with relevant documentation
  • Preparing Billing requests
  • Project Close Down/Archiving in all systems
  • Ensuring timesheets have been submitted
  • Project Updates for the Customers
  • Keeping all the relevant systems up to date with all the relevant information

New Leads

  • Replying to enquiries
  • Assigning Leads & arranging scoping calls
  • Setting up Leads in IT systems and Update

Management Support

  • Preparing, coordinating, attending, minuting and servicing board meetings and company meetings (Weekly Individual Management Meetings, Weekly Management & Directors Meetings, Monthly Management Offsite Meetings)
  • Ensure managers are up to date with client delivery related tasks and administration.
  • Draft routine client correspondence and compile documents relating to new and existing client business as needed.
  • Preparing Reports & Metrics
  • Preparing Commission Statements

Administration Duties

  • Handle routine telephone and mail correspondence, including reception of incoming calls, opening and forwarding mail to appropriate recipients. Screen and respond to general inquiries submitted by email.
  • Undertake any other ad-hoc admin duties as necessary.
  • Team event organization


  • 2+ years of experience in an Operations or Administrative role
  • Fully proficient in Microsoft office packages
  • Great interpersonal skills, including managing workload and expectations
  • Flexible and proactive attitude
  • Attention to detail, and meticulous attitude towards data entry
