Our client, a global management consulting firm is looking for a Part Time Administrative Assistant to join their team.

Job Duties:
• Perform general office administrative work;
• Provide support in other functions (Finance, HR, Legal and IT) for HK employees

Office Service
o Office furniture/equipment service call
o Business cards, stationery, greenery and pantry food ordering
o Inventory management and recycle
o Documentation storage
o Contact person for office emergency via landlord
o Organize carpet cleaning & pest control
o Admin systematic filing/records
o Insurance confirmation & CR request (fill out the check request form for signature)
o Organize staff functions & meeting etc.
o Petty cash management
o Office renovation management
o Office Move logistic planning

Senior Support
o Time Sheet and Expense
o Schedule Arrangement
o Travel - Flight/hotel booking, changes, day to day problem solving
o Con-call and video con-call setup for seniors
o Other ad-hoc for seniors’ project

Travel Manage
o Local hotel selection and negotiation contracts for special event
o BCD local contact
o Car rental service

o Answer switchboard phone calls
o Incoming call transfer
o Taking note for cold calls
o Visitor reception
o Mail distribution
o Receptionist

Special Event
o Annual dinner/offsite/outing planning, organization, logistic support
o Support GC/ regional/ global initiatives/ projects

o Contact/go to Tax Bureau & Bank
o AmEx Card Application/follow-up/cancellation
o Document Storage
o Other Finance related support

o IT support backup
o Temporary laptop allocation
o Service call for photocopier/printer/fax machine problems
o IT equipment delivery & arranging distribution
o Contact with the Telecommunication service providers
o Coordinate with IT and vendors to fix up computers & network

o Legal documents renewal
o Company chops

o On board procedure facilitation for new comer and transferred-in (w/ all function teams)
o Invitation letter, visa, work permit application, personal certificate and coordination with visa agency (Contact/ go to related department)
o Coordination with HR for social benefits queries
o Medical insurance claim processing


Job Requirements:
• Diploma or above
• At least 1 – 2 years of data input/ administrative work experience will be preferred
• Good communication skills in Cantonese, English and Mandarin
• Familiar with data entry (English and Chinese), MS Excel and MS Word
• Smart and detail minded with good input skill
• Able to commit 1 year contract and 2 – 3 half days per week

Working in Admiralty; 1 year contract; 2 – 3 half days per week
Salary: HK$60 per hour
