Personal Assistant to Safety and Student Welfare Principal / School Administrator

  • Handling diverted telephone and email enquiries from parents and inform the staff concerned accordingly
  • Organize and schedule meetings and appointments
  • Organize school/office operations and procedures
  • Provide general support to parents and other visitors
  • Update school related activities in school system calendar
  • Prepare and distribute agenda and minutes for the Faculty Meeting and All Staff Meetings
  • Provide assistance for new students and families
  • Ensure the accuracy of timesheet for cover Teachers and TAs before submitting to HOS’s approval
  • Liaise with other PAs and school administrative staff to ensure the effective and smooth running of the School’s Operations
  • Ad-hoc support in activities and events – e.g. fire drills
  • Provide operational and general administrative support for school activities and processes

PE & Activities Management:

  • Manage PE supplies for teachers
  • Manage filing, documentation, printing of documents, claims
  • Maintain supplies as required
  • Assist to book outside facilities for PE and CCA’s
  • Update CCA records
  • Provide administrative support for CCAs enrolments, bussing and other transports
  • Administration support to camp activities

Health and Safety:

  • Provide administrative and secretarial support toSafety and Student Welfare Principal in relation to Health and Safety issues and meetings etc.
  • Provide assistance to promote a positive health and safety culture within the School
  • To ensure the regular update and close out of items from the Health and Safety audit and regular inspections

PA to Safety and Student Welfare Principal:

  • Manage the Safety and Student Welfare Principal’s calendar and schedules, screening callers and arranging appointments, meetings, as directed
  • Manage travel arrangements
  • Manage filing, documentation, printing of documents, claims
  • Admin support for Teacher’s Observation Process and Hiring Process
  • Provide secretarial and support services to the Safety and Student Welfare Principal


  • Provide assistance to Campus Manager with transport
  • Carry out other duties and tasks as reasonably directed by the Safety and Student Welfare Principal


  • Good interpersonal and collaboration skills
  • Able to work independently with little or no supervision
  • Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people
  • Excellent time management skills and ability to multi-task and prioritise work
  • Excellent written and verbal English and Chinese
  • Ability to speak Mandarin is a benefit
  • Proficiency in computer skills


  • At least 2 year of related working experience with degree in related discipline required
