Personal Assistant:

  • Act as PA to the Head of School in all school matters
  • Prepare and distribute agenda and minutes for the Executive Meeting, Health & Safety, Academic Board and All Staff Meetings
  • Prepare parent/staff notices
  • Manage the Head of School’s calendar and schedules, screening callers and arranging appointments, meetings, as directed
  • Assist in preparation of staff, parent and student booklets, and other publications (including PowerPoint presentations)
  • Collect and distribute general mail and file for attention as appropriate
  • Provide secretarial and support services to the Head of School
  • Meet and greet prospective families and other visitors to the School who are meeting with the Head of School
  • Maintain supplies as required
  • Review and track all Faculty applications that come through the Careers website and determine their suitability with the Head of School for employment at SAIS
  • Review and follow up on correspondence to all potential applicants
  • Review recruitment needs and vacancies with the Head of School
  • Arrange interviews and documentation for the Head of School
  • Check references for suitable candidates and make appointments; clarify information and chase documentation as required
  • Prepare information and supporting documentation for expatriate teacher due to start for the new academic year
  • Assist Expat teachers with hotel accommodation, relocation services through nominated agent, housing agent and flight bookings if necessary
  • Assist the Head of School in running and organising the Induction & Orientation Program for new staff

Office Manager:

  • Serve as the point person for maintenance, mailing, shopping, supplies, equipment, bills, and errands
  • Organize and schedule meetings and appointments
  • Partner with HR to maintain office policies as necessary
  • Organize office operations and procedures
  • Coordinate with IT department on all office equipment
  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Manage office G&A budget, ensure accurate and timely reporting
  • Provide general support to visitors

Others:

  • Carry out other duties and tasks as reasonably directed by the Head of School

Position Requirements:

  • Experienced in handling a wide range of administrative and executive support related tasks
  • Able to work independently with little or no supervision
  • Strong organisational and planning skills, flexible and enjoy the administrative challenges of supporting an office of diverse people.
  • Proven office management, administrative or assistant experience, school environment preferred
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritise work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills in English
  • Excellent IT skills
  • Good attendance record
  • Strong references needed

Qualification:

  • At least 2 year of related working experience with degree in related discipline required
