Receptionist / Administrative Assistant

The Receptionist / Administrative Assistant role will report to the Senior Executive Assistant and the Chief Operating Officer of Asia and be primarily responsible for providing reception and office administrative support in the HK office. 

Key Responsibilities

  • Greet and welcome visitors, and direct them to the appropriate person as necessary
  • Answer, screen, and forward incoming phone calls
  • Coordinate and schedule meetings, and assist in preparation of minutes and documents
  • Assist in travel and event arrangements
  • Assist in recruiting processes; schedule interviews and tests for candidates
  • Liaise with service providers for admin and HR
  • Conduct English-Mandarin Chinese translation
  • Be involved and participate in ad hoc projects as assigned
  • Ensure the reception and all common areas are tidy and presentable

Requirements

  • Bachelors degree or higher
  • Proficiency with Microsoft Office Suite
  • Fluent in English and Mandarin Chinese, and ability to type Chinese
  • Ability to be resourceful and proactive when issues arise
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Excellent organizational skills
  • Professional attitude and appearance
  • Excellent interpersonal and communication skills (both written and verbal)
  • Sensitivity to confidential matters
  • Independent and self-motivated

Desired

  • Prior work experience as a Receptionist, Front Office Representative, or similar role
