Sales Operation Assistant

Essential Functions & Accountabilities

Sales Administrative Support (approx. 75%):

  • Prepare all reports requested from sales department, including: weekly sales reports, monthly gross reports, sales in progress reports and off take reports, etc, accurately and in a timely manner
  • Key person to deal with sales operation backend support, e.g. contract management, pricing reporting
  • Responsible for SFDC reporting and analysis
  • Perform sales forecasting together with sales team
  • Provide administrative support to the sales team, including, order processing, material preparation and backend office support
  • Process and follow-up on requests for documents and reports to and from sales team, including the documents on completion of sales cycles and marketing programs with all customers, in compliance to internal control
  • Work closely with Marketing Department in executing promotional programs to support sales growth.
  • Maintain the filing system, coordinate all related actions and perform general clerical duties.
  • Assist to execute ad-hoc projects as required
  • Other duties as assigned by management

Office Administration (approx. 25%):

  • Managing calendars as needed - booking calls and meetings, resolving calendar conflicts
  • Making travel arrangements and applying for travel visas
  • Preparing expense claims and raising purchase requisitions
  • Assisting managers for all the team-building and important outdoor meetings
  • Supporting the Hong Kong Wellness team in arranging wellness activities
  • Liaising with the landlord on building management as needed
  • Responsible for incoming and outgoing deliveries (including physical mail; couriers, vendors and suppliers)
  • Managing the procurement of office and pantry supplies and other items as needed
  • Ongoing maintenance of electrical appliances, furniture and fittings, working with IT on any equipment issues
  • Being the lead Fire & Safety Warden for the office


  • This is a Hong Kong-based role supporting the CooperVision team in Hong Kong. Interaction will be with other CooperVision offices regionally, as well as external vendors and suppliers.

Knowledge, Skills and Abilities:

  • A high level of proficiency in Word, PowerPoint and Excel
  • Verbal and written Chinese & English language skills appropriate for business communication
  • Excellent time management, interpersonal, communication, organizational and coordination skills
  • The ability to work with both speed and accuracy
  • The ability to work independently using your own initiative
  • The ability to balance and prioritize multiple conflicting requirements
  • Experience working in a Multi-national corporation culture

Education & Experience:

  • A Diploma in Business / Secretarial Studies. A degree would be desirable
  • At least 5 years of relevant experience in a fast-paced, multinational company.
  • Track-record of successfully providing admin support to sales department and managers
  • Prior experience managing or coordinating administration of an office would be an advantage.
