Sales & Operations Administrator (Renewable Contract)

Our client is a leading Luxury brand and they are now hiring for an experienced Sales & Operations Administrator to join their expanding team. The role will be responsible for all areas of Sales Support duties on a regional level. This opportunity is an excellent chance to enter a world leading luxury group, with high potential to extend into a longer term contract or a permanent role.

Responsibilities:

Support Sales and Operations activities for the brand in the Hong Kong Zone region (Hong Kong wholesale and retail, Macau wholesale and retail, and Duty Free channels across all countries when applicable) with the aim to maximise Sales and optimise logistic flows, while assisting Sales team and trade partners in daily activities

Local:

  • Follow-up of action stock (customer returns, returns to supplier)
  • Administration of Btq & Retailer enquiries on watches and accessories (including guarantee card, polishing clothes, boxes, instruction book and packaging) & CS
  • Preparation of reports: Stock, Sales, Consignments, SISO & any other operational reports as required.
  • Maintenance of all HK accounts (including HK, MO, PH & DFSL) in NSI
  • Preparation and maintenance of Price List booklets (English and Chinese)
  • Supply chain management of Accessories – supplier to Retailer & vice versa.
  • Stock regulation and monitoring for HK
  • Follow-up on all sales administration issues – invoices, credit notes, returns – with Logistics, Finance and CS, Customer Returns System, Inventory Requisitions/ Movements Maintenance
  • Preparation and follow-up of consignments
  • Prepare sell in sell out analysis to feed Quarter Management Meeting Presentation
  • Arrange and manage all consignment of watches, return of consignment and follow with consignment invoice
  • Administration & follow-up of weekly supplier deliveries for watches, accessories & PLV
  • Organise the transfer of newly received watches to CS for QC
  • Manage central warehouse stock, inter boutique stock transfer

Regional:

  • Pre-SAP: administration of all markets’ SOs & creation of supplier POs for stock reception in HK plus administration of CN, TW & KO stock for onward shipment
  • Post-SAP: administration of HK & KO POs for stock reception in HK, plus administration of KO stock for onward shipment
  • China PLV administration - supplier reception in HK & onward shipment to CN
  • Follow-up of CITES applications with the Shipping dept where necessary

Supplier:

  • Process and follow-up of watches & accessories orders with supplier
  • Follow-up of weekly supplier deliveries for watches and accessories
  • Administration and follow-up of ad-hoc stock, price and other general enquiries with supplier

IT:

  • Database maintenance on NSI & small NSI – references and prices
  • Monthly & ad hoc reporting – stock, sales, customer backorders, SISO, Btq monitoring reports
  • Watch and accessories pricing updates on NSI – annual pricing schedules, plus ad hoc pricing

Finance:

  • Follow-up of all queries on invoicing, credits/ debits
  • Create Sales Flash under Essbase

Follow-up of QC stock:

  • Administration and coordination of Accessories operations for repairs
  • Preparation and follow-up of stock repairs and maintenance of general stock
