Department Overview:
The Hong Kong office comprises of analytical, business development and operations staff. The analytical group provide public and private credit ratings of Corporates, Banks, Non-Banking Financial Institutions, Sovereigns and Insurance sector entities and their debt instruments. Fitch also provides ratings for issuers and instruments in the Infrastructure, Structured Finance and Public Finance sectors.
This newly created role will provide valuable administrative support for approximately 60 analysts based in the Hong Kong office. To assist the growing teams, this role will be responsible for the following (but not limited to):
  • Business travel arrangements within Asia Pacific and globally, including flights, visa arrangements, hotels and other transport if needed
  • Working with the Office Manager to ensure travel and expenses guidelines are adhered to
  • Preparing analyst’s expense reports
  • Arranging external meetings as directed
  • Providing administrative support for the rating process. This involves scheduling internal rating committees as directed, sending out calendar invitations, securing / coordinating availability of the chair person and required participants.
  • Recording rating committees in the internal system
  • Printing and distributing rating committee papers in advance of committees
  • Uploading documents to the system for electronic record keeping
  • Supporting analysts in maintaining physical document storage
  • Supporting smooth operation for internal and external meetings (booking rooms/locations, ordering refreshments, making sure required equipment is working, distributing call-in details, etc)
  • Reviewing and inputting data into spreadsheets as directed
  • Binding presentations and scanning documents for analysts
  • Distributing incoming post
  • Other duties as needed
Skills and Experience:
The ideal candidate will be able to use their initiative, have good common sense and a logical approach to work.
  • Fluency in written and spoken English and Mandarin is essential
  • At least 18 – 24 months experience of working in an operational support role
  • Diploma / Degree holder in administration or related discipline or equivalent work experience
  • Data management experience is essential
  • Intermediate level in Excel, Word, PowerPoint and Outlook
  • Ability to understand and comply with Fitch’s policies and procedures and to develop a basic understanding of what Fitch does and how these procedures effect the wider business
  • Ability to multitask and prioritise workload
  • Ability to understand data and extract relevant elements from it, including identifying errors and checking for any inconsistencies
  • Strong attention to detail
  • Strong communication and problem solving skills
  • Strong desire to help and support others
  • Responsive, proactive and reliable
  • Ability to work independently, using initiative and anticipating needs
